Rockstar New England is on the lookout for detail-oriented Admin Coordinator with a passion for operational excellence who thrives in a dynamic environment. This role will see you working to oversee administrative activities, streamline office procedures, manage inventory and coordinate periodic company outings.
This is a full-time, in-office position based out of Rockstar’s development studio in Andover, MA.
WHAT WE DO
- The Admin Team ensures the smooth running of the day-to-day studio operations by working closely with stakeholders to proactively understand their needs.
- We act as the primary point of contact for internal staff, vendors, and clients; we anticipate the needs of the studio, providing solution-oriented support to the Studio and our visitors in an efficient manner.
- We support Rockstar’s goals and values, demonstrating them in all work activities and interactions on behalf of the company.
RESPONSIBILITIES
- Act as the primary Admin Team member for the studio, supporting local operations while collaborating closely with the wider regional team to ensure consistent service delivery.
- Deliver front of house and guest services, coordinating visitor management, access coordination and guest arrivals ensuring a welcoming studio experience.
- Coordinate business travel, accommodation, transport and hospitality arrangements while maintaining travel boards and trackers, to ensure effective planning and visibility.
- Maintain relationships with travel and accommodation vendors to support effective delivery of travel services.
- Maintain accurate files, records and documentation in line with established procedures.
- Coordinate gifting and merchandise initiatives, including ordering, stock management and distribution.
- Provide general studio support, including meeting room setup, hospitality support, deliveries, supplies management and day-to-day operational requests.
- Coordinate studio events and employee related activities, ensuring effective planning and execution.
- Support accounts payable activities including invoice processing, purchase order administration and expense report reconciliations.
- Provide cover for key areas of responsibility for the rest of the Admin Team as needed, including ad hoc assistance on projects and activities.
REQUIREMENTS
- Minimum 3+ years’ experience in an Admin Coordinator role in a comparable enterprise environment.
- High proficiency on MS Office 360 Applications, Outlook, Excel, Word, PowerPoint.
- Highly self-motivated and proactive with ability to work under minimal supervision and as part of a team environment.
- Excellent organizational skills and attention to detail.
- Strong written and verbal communication skills
- Proactive approach to anticipating challenges and finding efficient solutions.
- Experience in booking corporate travel.
- Strong focus on customer service.
- Experience using office management systems and software.
PLUSES

The pay range for this position in Andover, Massachusetts at the start of employment is expected to be between the range below* per year. However, base pay offered is based on market location, and may vary further depending on individualized factors for job candidates, such as job-related knowledge, skills, experience, and other objective business considerations.
Subject to those same considerations, the total compensation package for this position may also include other elements, including a bonus and/or equity awards, in addition to a full range of medical, financial, and/or other benefits. Details of participation in these benefit plans will be provided if an employee receives an offer of employment. If hired, employee will be in an "at-will position" and the company reserves the right to modify base salary (as well as any other discretionary payment or compensation or benefit program) at any time, including for reasons related to individual performance, company or individual department/team performance, and market factors.
