We are seeking an experienced, proactive, and detail-oriented Executive Assistant to provide high-level administrative support to the Senior Vice President of Network Strategy & Policy. In this role, you will serve as a strategic operational partner—managing complex schedules, seamless travel logistics, high-impact meetings, and key team communications. By streamlining administrative workflows and maintaining high operational standards, you will enable executive leadership to focus on critical strategic priorities and driving business growth.
Responsibilities
- Executive Calendar & Time Management: Serve as the primary gatekeeper and manager of the SVP’s calendar, strategically prioritizing requests to optimize executive time. Coordinate complex internal and external meetings across multiple time zones, resolving scheduling conflicts proactively.
- Travel & Expense Administration: Plan, book, and manage comprehensive end-to-end domestic and international travel itineraries, including flights, lodging, transportation, and meeting logistics. Prepare, submit, and track timely Travel & Expense (T&E) reports in compliance with company policies and financial guidelines.
- Meeting & Event Planning: Oversee the end-to-end planning and execution of executive meetings, departmental events, leadership offsites, and team gatherings. Manage event logistics, including vendor communication, custom ordering, catering menu selection, agenda distribution, and budget tracking.
- Executive Partnership & Communication Support: Act as a seamless liaison between the SVP, direct reports, internal cross-functional teams (e.g., Finance, Accounting, HR), and external partners. Draft, edit, and format high-quality documents, memos, and executive PowerPoint presentations. Maintain organized filing systems, monitor key incoming communications, and handle sensitive, confidential information with absolute discretion.
- On-Site Operations Support: Maintain presence on site with executive to develop and execute activities, as appropriate; may include being present at several office sites in the geographic footprint
Basic Qualifications
- High School Diploma, GED, or Equivalent Certification
- At least 5 years of experience supporting executive leadership
- At least 2 years of administrative experience managing executive calendars, complex travel logistics, expense reporting, event coordination, and cross-functional communications
- At least 1 year using Google Workspace or Microsoft Office Suite
Preferred Qualifications
- Associate Degree in Communications or a related discipline
- 7+ years of experience supporting executive leadership in a fast-paced corporate environment
- 5+ years of end-to-end event planning, budget oversight, and vendor contract management experience
- 5+ years of travel booking, expense reconciliation, and workflow management experience
- Advanced proficiency in Google Workspace and Microsoft Office Suite, specifically PowerPoint and Excel

The minimum and maximum full-time annual salaries for this role are listed below, by location. Please note that this salary information is solely for candidates hired to perform work within one of these locations, and refers to the amount Capital One is willing to pay at the time of this posting. Salaries for part-time roles will be prorated based upon the agreed upon number of hours to be regularly worked.
Chicago, IL: $86,000 - $98,200 for Executive Assistant
Candidates hired to work in other locations will be subject to the pay range associated with that location, and the actual annualized salary amount offered to any candidate at the time of hire will be reflected solely in the candidate’s offer letter.
This role is also eligible to earn performance based incentive compensation, which may include cash bonus(es) and/or long term incentives (LTI).
