Controls Coordinator managing procurement workflows, process documentation, and automation using AI tools across the APAC region.
The timing matters. The team is part-way through automating its own transactional work, so you will help design that tooling rather than inherit it finished. Vendor management is also becoming a defined programme rather than something each coordinator handles independently, giving you a clear area to own from the start. No data centre experience is needed. What matters is what you do with a process once you hold it: writing the run book a new joiner can follow without asking, building the report that answers the question before it gets asked, and automating the parts that should never have been manual.
Key job responsibilities
- Manage every work order, change order, purchase request, purchase order, and capital appropriation request end to end, tracking each against its published SLA and escalating exceptions early with a recommendation attached.
- Coordinate with Controls Engineers, Finance, Legal, and Procurement across APAC to land commitments that carry real money, including support for annual and mid-year operating plans.
- Design and maintain run books and process documentation so that workflows survive your absence and can be followed by any team member without additional guidance.
- Build reporting and automation that removes routine processing from people, using AI tools where they add value, and measure the before-and-after impact of every improvement you deliver.
- Own the vendor management programme for your region, defining consistent processes and partnering with global counterparts across a follow-the-sun operating model.
A day in the life
Your morning starts with your queue: the requests are yours from day one, and so are the blockers behind them. You might spend the first hour clearing purchase orders through their approval chain, then shift to refining an automation that shaves a manual step off the change-order workflow. After a standup with your Controls Engineering partners, you review an open vendor issue with Procurement and draft the escalation note. Later you pull together the data for a business review that senior leadership will read directly. Between tasks you are testing a new AI-driven dashboard the team is building in-house. By the end of the day you have moved work forward, removed a friction point, and documented what you changed so the next person does not have to ask.
About the team
The Program Management and Coordination team is the governance group within AWS Infrastructure Services that owns the planning cycles, goals, business reviews, and mechanisms the APAC region runs on. This is where process gets designed rather than requested. The team is eight people today, spread across Tokyo, Singapore, Sydney, and Melbourne, and everyone sits within the same Tech Ops Engineering job family — meaning the step from coordinator to programme manager is a genuine progression on a single ladder.
Our closest partners are the Controls Engineers running deployments, projects, service, and colocation across APAC, along with Finance, Legal, and Procurement on every commitment that carries money. We also collaborate with our counterparts in the Americas and EMEA through a global follow-the-sun model, so a process you improve once is improved everywhere we operate.
Basic qualifications
- Experience producing written documentation, processes or reports that other people rely on without needing you to explain them
- Experience using generative AI tools in daily work, getting useful results from them on real tasks rather than experimenting
- Experience owning a queue or pipeline of transactional work against a deadline or a service level
Preferred qualifications
- Experience improving or standardising a process, with a measured before and after
- Experience working with data: extracting it, reconciling it and reporting on it, in spreadsheets, SQL or a business intelligence tool
- Experience building automation, whether with AI agents, workflow tools, low code platforms or scripts
- Experience in program or project management, including cross-functional delivery
- Experience reading and querying commercial contracts, purchase orders or invoices
