About the Team
Great work happens in spaces designed for it. Wealthsimple's Workplace Operations team is responsible for delivering safe, functional, and welcoming environments for our people. We believe in unreasonable hospitality - going beyond what's expected, in ways big and small, to remove friction and create space for people to focus on what matters. As part of the team, you'll help shape how our office experience scales, creating a best-in-class workplace that enables our employees to do their best work and helps drive the business forward.
About the Role
As the Lead, Workplace Operations, you’ll report to the Senior Manager, Real Estate Operations, and be the subject matter expert behind Wealthsimple's workplace programs - F&B, office experience, facilities, and Health & Safety - across our hubs in Canada and the US. You'll be the site's technical and operational lead when it comes to building systems, facilities operations, and emergency response, navigating ambiguity with sound judgement. This is a role for someone who takes real ownership - who identifies bottlenecks in how we operate and designs the fix.
Key Responsibilities
Program Leadership
Own the annual workplace programming roadmap across all hubs - setting direction and aligning it to broader department goals
Identify bottlenecks in our current workflows and design scalable solutions to remove them, rather than patching around them
Serve as the primary escalation point for site-level operational issues, exercising judgment where there's no established playbook
Develop the change management and communication approach for program rollouts
May have oversight of a team as the function scales
Operations Excellence & Health and Safety
Deliver workplace services - building systems, facilities operations, F&B, and physical space issues - guided by our belief in unreasonable hospitality: removing friction and anticipated needs of employees and visitors
Set the service standard for facilities operations across hubs - response times, resolution targets, and escalation paths
Own the maintenance lifecycle framework across all locations, ensuring capital and reactive spend is planned
Govern minor works, moves, and refurbishments across hubs, ensuring business continuity and consistency of standard regardless of who executes locally
Own a visible, proactive Health & Safety framework across all locations, adapting to local regulatory requirements (Ontario, other provincial, and US state-level standards)
Budget Ownership
Own the operating budget across all hubs - setting the annual envelope, allocating across programs and sites, and holding accountability for variance to plan
Set contract standards, SLA frameworks, and performance criteria that the workplace team negotiates and manages against
Oversee spend forecasting, approval thresholds, and cost optimization targets
Data Insights
Turn ticketing, utilization, and service data into program decisions, and feed occupancy signals up to inform portfolio planning
Present findings to senior leadership in a way that drives action, not just awareness
What you'll bring
6-8+ years in Workplace Operations, Facility Management, or Property Management — with real ownership of programs, budgets, and vendor relationships, not just delivery support
An existing network of contractors, electricians, and facilities vendors you can activate immediately
Experience operating across multiple sites or regions, with an understanding of how to hold consistent standards while adapting to local context
Experience negotiating vendor contracts and running RFP processes end-to-end
Working knowledge of Ontario Health & Safety standards; familiarity with other Canadian provincial and US state-level requirements is a plus
Comfort making decisions without a perfect playbook - you can navigate ambiguity and move forward with the information you have
A bias toward action - you'd rather fix something today than schedule a meeting about it next week
Sharp data instincts - you can build a KPI framework and know what story the numbers are actually telling
Strong communication skills - able to distill complex issues into something senior leadership can act on quickly
An instinct for hospitality - you notice the small things, and you don't wait to be asked before fixing them
