éShop Creative Studios is seeking a detail-oriented and proactive Studio Operations Associate to support and oversee the day-to-day operations of our Tokyo studio. In this role, you will ensure the studio runs smoothly by coordinating content (video & images) production planning, managing workflows, troubleshooting operational issues, maintaining process documentation, and delivering data analysis on core operational metrics across photography, and video. You will work closely with Producers, Art Directors, Videographers, and freelance talent to keep productions on track and the studio environment ready for high-volume content creation. The role requires someone who can independently address root causes of operational problems, design short-term solutions without predefined procedures, and train team members on standardized processes. The ideal candidate is highly organized, thrives in fast-paced environments, and takes ownership of operational details that enable creative teams to do their best work. You will need to understand both upstream and downstream metrics—from supply chain inputs to fulfillment outputs—to inform smart operational decisions. Key job responsibilities
• Define and execute work required for standard and non-standard studio operations functions across photography bays, video stages, Content Creators projects and Gen-AI based content creations.
• Coordinate daily studio operational readiness—resolving scheduling conflicts, optimizing utilization, and ensuring all areas are prepared for production
• Independently address root causes of operational problems in production workstreams, troubleshooting without predefined procedures when necessary
• Work closely with Gen-AI tools and systems,
: Provide data analysis using upstream and downstream metrics (including supply chain and fulfillment data) to inform operational decisions
: Support production operations by coordinating resources, equipment, and studio readiness, and by optimizing turnovers between shoots to maximize stage utilization
: Track and report on key studio operational metrics, flagging capacity risks and opportunities to leadership with data-driven analysis
: Create plans to eliminate operational backlogs in a timely fashion, learning to anticipate and mitigate backlogs before they arise
: Manage non-standard intake mechanisms and processes, including ambiguous imaging requests requiring judgment and prioritization

• Own and maintain process documentation including SOPs and operational playbooks to facilitate onboarding and process adoption across teams
• Drive automation and process improvement of studio workflows and operations using macros, Python, and Gen-AI tools;
• Partner with global teams to launch, refine, and roll out new studio tools on-site.
• Train part-time team members and contingent workforce on operational procedures, equipment protocols, and studio standards
• Coordinate with Facilities, IT, Security, and upstream/downstream teams to resolve studio infrastructure issues proactively

Basic qualifications

- • 4+ years of experience in studio operations, production coordination, or facilities management
- • Experience coordinating cross-functional inputs, meeting deadlines, and managing competing priorities in a fast-paced environment
- • Experience troubleshooting operational issues independently without predefined procedures
- • Experience with process documentation, SOP creation, and operational playbook development
- • Experience with data analysis and metrics reporting using Microsoft Office tools (Excel, Word, PowerPoint) and Gen-AI tools
- • Strong analytical skills and attention to detail with effective communication abilities
- • Business-level proficiency in both English and Japanese (written and verbal)
- • Ability to work on-site full-time in a studio environment

Preferred qualifications

- • Experience in a photo, video, or content production environment
- • Experience in project management, performance tracking and analysis for contents/crative assets production
- • Experience with process improvement initiatives or operational excellence methodologies
- • Understanding of purchase order processes, cost tracking, or basic financial operations
- • Knowledge of upstream/downstream supply chain and fulfillment metrics
- • Comfort working across international teams and time zones
- • Experience handling ambiguous requests requiring judgment and prioritization
- • Experience training or onboarding team members on operational procedures
