We have raised over $350 million from top-tier investors, and partner with the largest health plans, employers, and government organizations to help their employees and members restore their health and take back their lives. Join us on our mission to reverse metabolic disease in one billion people.
About This RoleVirta is seeking a direct-mail operations contractor to provide temporary coverage within Member Growth Operations. This is a hands-on execution role responsible for keeping a high-volume, highly visible acquisition channel accurate, on schedule, and well coordinated across internal teams and external production partners.
You will manage established direct-mail workflows from intake through in-home delivery: campaign planning, data and creative readiness, proofing, approvals, vendor handoffs, production tracking, QA, and issue resolution. You will work independently on routine execution while partnering closely with Growth, Creative, Implementation, Analytics, and external vendors.
ResponsibilitiesOwn campaign execution from approved request through mail delivery, including timelines, dependencies, approvals, and status communication.
Coordinate high-volume quarterly and ad hoc mail programs across automated and manual production workflows.
Partner with print and mailing vendors to confirm specifications, schedules, proofs, counts, postage, and in-home windows.
Perform detailed quality assurance across copy, personalization, client-specific requirements, creative assets, URLs and QR codes, audience files, and production proofs.
Maintain campaign plans, forecasts, trackers, and documentation so stakeholders have a clear view of scope, timing, risk, and decisions.
Identify issues early, recommend practical solutions, and lead coordinated resolution when timelines or quality are at risk.
Support knowledge transfer before coverage begins and document work thoroughly for a smooth transition at the end of the engagement.
Within your first 90 days at Virta, we expect you will do the following:
Days 1–30: Learn, shadow, and prepare
Complete onboarding to Virta’s direct-mail processes, systems, quality standards, and client-specific requirements.
Learn the quarterly mailing calendar, current campaign portfolio, forecasting process, vendor workflows, and approval paths.
Review active and upcoming campaigns, production lead times, documentation, and known risks.
Shadow the Direct Mail lead through campaign setup, proofing, vendor handoffs, and production tracking.
Complete guided campaign executions and QA reviews with close oversight.
Establish working relationships with Growth, Creative, Content, Implementation, Analytics, account partners, and direct-mail vendors.
Identify documentation or process gaps that could affect coverage.
Success by Day 30: The contractor understands the end-to-end workflow, can navigate required systems and documentation, and can complete lower-risk work with review.
Days 31–60: Assume primary execution ownership
Take primary ownership of assigned direct-mail campaigns from intake through in-home delivery.
Manage campaign timelines, dependencies, approvals, audience inputs, proofs, production milestones, and vendor communication.
Execute established QA controls across content, personalization, client requirements, audience files, URLs, QR codes, counts, and production proofs.
Maintain campaign trackers, forecasts, decision logs, and status updates.
Lead recurring campaign and vendor check-ins and escalate risks early.
Continue working closely with the hiring manager and designated reviewers on unfamiliar, complex, or high-risk campaigns.
Document exceptions, decisions, and process updates as they occur.
Success by Day 60: The contractor independently manages routine direct-mail execution, maintains accurate records, and consistently identifies and escalates risks before they affect delivery or quality.
Days 61–90: Stabilize coverage and strengthen continuity
Fully own day-to-day direct-mail operations for the assigned portfolio.
Maintain on-time execution across planned and ad hoc campaigns while balancing competing priorities.
Proactively manage production risks, vendor issues, changing requirements, and cross-functional dependencies.
Demonstrate consistent application of quality controls, with no preventable material errors.
Recommend practical improvements to documentation, handoffs, tracking, or QA where appropriate.
Ensure campaign documentation and forecasts are current and accessible.
Begin preparing a structured transition plan covering in-flight work, upcoming deadlines, vendor commitments, open decisions, and known risks.
Success by Day 90: Direct-mail operations remain stable, accurate, and on schedule; stakeholders have clear visibility into the work; and the contractor can sustain coverage with targeted oversight rather than continuous direction.
Must-Haves3+ years of experience in marketing operations, print production, campaign operations, or a closely related field.
Demonstrated ownership of complex, deadline-driven campaigns with multiple stakeholders and external vendors.
Exceptional attention to detail and a disciplined approach to quality assurance, documentation, and change control.
Ability to read audience requirements, reconcile counts, spot inconsistencies, and translate operational details for nontechnical partners.
Strong project management and communication skills, including clear escalation when risks or tradeoffs emerge.
Comfort ramping quickly into established systems and processes while using sound judgment with limited day-to-day direction.
Successfully designed and implemented repeatable AI-enabled workflows that address team bottlenecks and improve efficiency. For more information about AI usage in our hiring process, see Virta's AI Interview Resources page.
Experience with direct-mail platforms or production partners such as PostGrid, Cornerstone, or comparable tools and vendors.
Experience with Asana, Notion, Braze, or similar campaign-management and lifecycle-marketing systems.
Familiarity with healthcare, benefits, regulated communications, or client-specific eligibility and branding requirements.
Experience coordinating audience data, variable-content templates, testing, and print-production proofs.
You will be embedded with the Member Growth Operations team for a defined period. Because direct mail is a material acquisition channel, the engagement will include structured onboarding, recurring working sessions, and ongoing quality reviews. After ramp-up, you will be expected to own routine execution, keep stakeholders informed, and escalate risks promptly.
The role is collaborative and cross-functional. Regular touchpoints may include team planning, campaign status reviews, production and vendor check-ins, creative or content reviews, and focused working sessions with Implementation or data partners.
What Success Looks LikeMail campaigns reach production and in-home milestones on schedule, with accurate and complete inputs.
Quality checks are consistent, documented, and effective; preventable production or member-facing errors are avoided.
Forecasts, trackers, approvals, and campaign records remain current and easy for partners to use.
Vendors and internal stakeholders receive timely decisions, clear handoffs, and early notice of risks.
Process knowledge is captured so the team can transition coverage cleanly at the end of the contract.

- Attach one line of real, concrete experience to at least one of them. A tool named with nothing behind it rarely survives a human read.
