AI in this role

Every day, millions of Australians connect, work, stream, and stay in touch via the Optus network. When it functions effortlessly, it’s often taken for granted. Still, behind it is a team making thousands of decisions each day—decisions that keep people, enterprises, and communities connected.

Right now, Optus is passionate about getting the fundamentals right - simplifying how we work, lifting standards, and building a more reliable, resilient experience for our customers. We’re powered by the passion, resilience and ideas of our people — people who challenge what’s possible and put customers first, every day.

As a Transformation Program Assistant, you will play a pivotal role within the IT Transformation, providing high-quality executive support to the GM, IT Transformation. This role owns the governance calendar, meeting administration, action and RAID log management, and meeting pack coordination for key program forums.

What You’ll Do | Your day to day will consist of

  • Manage the GM's calendar, scheduling, and meeting prioritisation across various forums.

  • Prepare briefing notes, presentation materials, and talking points for internal and external engagements.

  • Own the governance calendar, meeting administration, actions and RAID log management.

  • Coordinate meeting packs and lead PMO implementation activities.

  • Maintain template libraries, embed standards, and train the program team on ways of working.

What You Bring | What makes you perfect for the role?

  • 3–5 years' experience in an executive assistant, program coordinator or PMO analyst role in the telecommunications or financial services industry.

  • Proven ability to manage multiple governance streams simultaneously while maintaining high attention to detail.

  • Strong proficiency in Microsoft 365 and familiarity with Atlassian tools for program coordination.

  • Experience producing high-quality governance artefacts for senior audiences.

  • Excellent written and verbal communication skills.

  • High degree of discretion and reliability in managing sensitive and confidential information.

  • A proactive, organised, solutions-focused approach.

The good stuff…. | What’s in it for you?

  • Competitive remuneration, plus $80 monthly credit, 25% off Optus products and exclusive shopping discounts with our retail partners — making everyday life a little more affordable.

  • Genuine Flexibility - work three days in the office, two days from wherever works best for you.

  • An office campus that has it all - cafes, chill out zones, GP, post office, gym, and on-site childcare centre. It’s built for real life.

  • Great leave policies, including additional 'Connected’ days to focus on culture, family, health, community, or whatever matters most to you.

  • Inclusive, carer-neutral paid Parental Leave of up to 16 weeks, because family comes first.

  • Build meaningful connections through colleague-led networks and diversity initiatives including Culture Connect, Elevate Women, Disability Network and Express Yourself (LGBTQIA+).

  • Your wellbeing matters, so we offer free counselling and support services, available 24/7 in-person, by phone, SMS, or video.

  • A free Optus bus from Macquarie University Metro Station (every 6-8 minutes); morning and afternoon. Or, heaps of onsite parking. Plus, end-of-trip facilities with lockers, showers, irons, and hair dryers.

Not every box ticked? Apply anyway. We believe the right approach matters more than a perfect CV. We’ll back you to grow from there!
