You will partner closely with recruiters, hiring managers, interviewers, candidates, HR partners, and other cross-functional teams to keep hiring processes moving efficiently. You will also help maintain accurate recruiting data, improve operational workflows, and identify opportunities to make our recruiting programs more scalable and consistent.

What you’ll do

Recruiting coordination

  • Coordinate interviews across multiple time zones, calendars, interview formats, and stakeholder groups.
  • Own the interview scheduling process from intake through completion, including rescheduling and last-minute changes.
  • Serve as a reliable point of contact for candidates, providing timely updates and a high-quality candidate experience.
  • Prepare interview plans, agendas, briefing materials, and interviewer guidance.
  • Coordinate candidate travel, virtual interview logistics, assessments, and other pre-employment activities where required.
  • Ensure interview feedback is collected promptly and follow up with interviewers and hiring teams as needed.
  • Support offer coordination, pre-boarding activities, and handoffs to HR or onboarding teams.
  • Maintain clear, professional, and inclusive communication with candidates and internal stakeholders.

Talent Acquisition operations

  • Maintain accurate and timely candidate, requisition, interview, and disposition data in the applicant tracking system.
  • Complete regular data-quality checks and resolve discrepancies in partnership with recruiters and HR stakeholders.
  • Prepare recruiting reports, dashboards, and operational updates covering pipeline health, interview activity, aging, and process performance.
  • Support requisition creation, approvals, status changes, and closure activities in line with established processes.
  • Document recruiting workflows, standard operating procedures, templates, and service-level expectations.
  • Coordinate with background-check, assessment, travel, and other recruiting vendors as applicable.
  • Support vendor administration, invoice tracking, purchase orders, and related operational activities.
  • Contribute to recruiting projects such as ATS enhancements, process audits, reporting improvements, employer branding initiatives, and recruitment campaigns.
  • Identify recurring process issues and recommend practical improvements that increase efficiency and improve the candidate or stakeholder experience.
  • Help ensure recruiting processes are applied consistently and in accordance with company policies and applicable requirements.

What we’re looking for

  • 3–6 years of experience in recruiting coordination, Talent Acquisition operations, HR operations, or a related role.
  • Experience coordinating interviews and managing multiple recruiting workflows simultaneously.
  • Strong working knowledge of applicant tracking systems and recruiting tools.
  • Demonstrated ability to maintain accurate data and produce clear operational reports.
  • Excellent written and verbal communication skills, with a professional and candidate-friendly approach.
  • Strong organizational skills and attention to detail, especially when managing changing priorities and complex calendars.
  • Ability to work effectively with recruiters, hiring managers, interviewers, candidates, and cross-functional partners.
  • Comfort working with spreadsheets, reporting tools, and structured data.
  • Sound judgment when handling confidential candidate and employee information.
  • Ability to work independently while escalating risks, delays, and exceptions appropriately.

Preferred qualifications

  • Experience supporting recruiting across multiple business functions, geographies, or high-volume hiring programs.
  • Experience with ATS reporting, recruiting dashboards, or process documentation.
  • Exposure to recruiting technology implementations, workflow automation, or continuous-improvement projects.
  • Experience working with recruiting vendors, background-check providers, assessment platforms, or travel partners.
  • Familiarity with inclusive hiring practices and data privacy expectations.

Success in this role

In the first 6–12 months, success will look like:

  • Interviews are scheduled accurately and efficiently, with minimal avoidable changes or delays.
  • Candidates and hiring teams receive timely, clear, and consistent communication.
  • ATS records, interview feedback, and requisition data are accurate and up to date.
  • Recruiting reports and dashboards are reliable, actionable, and delivered on time.
  • Core recruiting processes are documented and followed consistently.
  • Operational improvements reduce manual effort and improve the experience for candidates and hiring teams.

Core competencies

  • Candidate and stakeholder focus
  • Planning and prioritization
  • Attention to detail
  • Ownership and follow-through
  • Data accuracy and operational discipline
  • Process improvement mindset
  • Collaboration and communication
  • Confidentiality and sound judgment
