To provide comprehensive administrative and coordination support to the Sales & Marketing department, ensuring the smooth and efficient execution of daily operations, sales activities, marketing initiatives, and client communications. The role supports the team in maintaining accurate records, coordinating commercial activities, preparing reports and materials, and delivering a high standard of service to clients and business partners.

Key Responsibilities

Sales Administration & Coordination

• Provide day-to-day administrative support to the Sales & Marketing team, including preparing proposals, contracts, itineraries, presentations, reports, and client correspondence.
• Maintain and regularly update client databases, Salesforce, account records, sales activity trackers, and other relevant systems to ensure accuracy and data integrity.
• Manage incoming sales enquiries and assist with client requests, ensuring timely responses and effective follow-up.
• Monitor outstanding proposals, enquiries, and client requests, coordinating with the sales team to ensure deadlines are met and potential business opportunities are followed up.
• Maintain sales calendars, appointment schedules, and activity trackers to support the effective planning and execution of sales activities.
• Prepare sales reports, monitor account production, track performance, and assist with the analysis of business trends and commercial opportunities.
• Support the onboarding of new travel trade partners by coordinating documentation, contracts, account information, and the distribution of relevant resort materials.
• Assist with familiarisation trips (FAM trips), including guest arrangements, itineraries, internal coordination, and post-visit follow-up.
• Assist the sales team whenever required with site visits and other sales-related tasks.
• Prepare complimentary forms, entertainment requests, and voucher requests as required by the sales team, and raise expenses as needed.

Marketing Support

• Coordinate with the Marketing team on the preparation, updating, and distribution of sales collateral, presentations, promotional materials, and resort information.
• Assist with the implementation of Marketing campaigns, promotional offers, partner activations, and marketing initiatives, ensuring timely communication with relevant stakeholders.
• Support the coordination of marketing materials for trade partners, sales visits, exhibitions, and commercial presentations.
• Assist in maintaining up-to-date marketing resources, image libraries, fact sheets, and other sales and promotional content.
• Ensure consistency and accuracy of resort information across presentations, partner communications, and marketing materials.
• Complete complimentary form submissions and other admin tasks related to Marketing expenses.
• Take full responsibility for budget tracking, PR raising, coordination with procurement and general tracking of all Marketing expenses.

Finance & General Administration

• Create Purchase Requisitions (PRs) in FMC and liaise with the Finance department to facilitate the timely processing of invoices and payments.
• Assist with administrative documentation, expense tracking, filing, and record-keeping in accordance with departmental procedures.
• Support the coordination of departmental meetings, appointments, travel arrangements, and other administrative requirements as needed.
• Maintain organised records and ensure relevant documentation is readily accessible to support efficient departmental operations.

Qualifications & Requirements

• Bachelor’s degree in Hospitality Management, Business Administration, Sales & Marketing, or a related field.
• Previous experience in sales, marketing, or general administration, preferably within the luxury hospitality industry.
• Strong organisational and time-management skills, with the ability to manage multiple priorities and meet deadlines in a fast-paced environment.
• Excellent written and verbal communication skills, with a professional and service-oriented approach.
• Proficiency in Microsoft Office applications, particularly Excel, Word, and PowerPoint; familiarity with Salesforce or other CRM systems is an advantage.
• Strong attention to detail and accuracy in handling data, documentation, and correspondence.
• Effective interpersonal skills and the ability to collaborate with multiple departments and external partners.
• A proactive, flexible, and team-oriented attitude, with strong problem-solving skills and the ability to anticipate departmental needs.
• A professional demeanour and commitment to maintaining the standards expected within a luxury hospitality environment.
